Video management software, or VMS, is the layer between your cameras and the people who need the footage. It records, lets you watch live and play back, and decides who can see what. For a business, the choice of VMS matters more than the choice of camera. Cameras get replaced. The platform stays for ten years.

What is a video management system?
A video management system is software that connects to IP cameras from different brands, records their streams to servers you control, and gives users live view, playback, search and export, each with their own permissions. A recorder box does part of that. A VMS does it for one site or a hundred, on hardware you choose.
The difference with an NVR, the recorder most small systems start with, is not the picture. It is everything around it. An NVR is a closed box with its own users, its own disks and its own password. Three sites means three boxes. A VMS treats them as one system, with one set of users and one audit trail.

Our honest default for most mid-sized organisations is Nx Witness, because it is quick to set up, light on hardware and the licence follows the camera rather than the server. When a project needs a specific integration that only one platform offers, or doors and plates in the same interface, the answer changes. That is the conversation we have before anything is ordered.
AI
What does AI add to video management software?
Mostly, it makes searching faster and alarms smarter. Instead of “motion detected” you get “person in a restricted area after hours”, and instead of scrolling through a day of footage you search for a vehicle or a person in a zone.
Two things to know. AI analytics can run in the camera, on the server or in a plug-in, and that choice affects your hardware and licences. And not every AI feature is something you should switch on. Face recognition against a watch list, for example, has heavy legal limits in Europe. We set up what fits the purpose, not everything that is possible.
Access and compliance
Can a VMS help with NIS2 and ISO 27001?
It can make the camera part demonstrable. No software makes your organisation compliant, but a VMS with personal accounts, roles, Active Directory and an audit trail lets you show who has access and take that access away when someone leaves.
That is exactly where shared logins on separate recorders fall short. We set it up per role and per site, and document it so your auditor can read it.

Questions about video management software
What is the difference between a VMS and an NVR?
An NVR is a closed recorder with its own disks, users and password. A VMS is software on a server you choose, that can manage many servers and sites as one system with central users and an audit trail. For one small site an NVR can be enough. With several sites or strict access requirements, a VMS is the better fit.
Can I keep my existing cameras?
Usually, yes. Nx Witness, Milestone and Genetec all support the major camera brands and ONVIF. We check every model before anything changes. Cameras locked to one brand’s recorder or cloud, and old analogue cameras, need an encoder or a replacement.
Which VMS is best?
The one that fits your sites, your integrations and your licence budget over ten years. For most mid-sized organisations with several locations that is Nx Witness. For specific third-party integrations it can be Milestone, and for video plus access control in one interface Genetec.
Is cloud VMS better than on-premises?
Not by definition. Recording on your own servers keeps the footage on site and the running costs predictable. Cloud adds remote access and less hardware on site. Nx Witness combines both: recording on your own server, remote access through the cloud without opening ports.
Do you work outside the Netherlands?
Yes. We supply licences and servers across Europe, configure systems remotely and work on site where needed.
